Return & Refund Policy

This Return & Refund Policy applies to all products supplied by Vintera Flavors (“we”, “us”, “our”) and governs business-to-business (B2B) transactions only.
1. No General Returns
Due to the nature of our business, all sales are final unless otherwise agreed in writing. We do not accept returns or provide refunds for:
- Change of mind
- Incorrect product selection by the buyer
- Over-ordering or unused inventory
- Variations resulting from intended product use or formulation
2. Eligible Return Cases
Returns or refunds may be considered only under the following circumstances:
- Products delivered are materially defective at the time of dispatch
- Incorrect product supplied compared to confirmed order
- Shortage or damage verified at the time of delivery
Any return or refund request must be approved in writing by Vintera Flavors.
3. Notification Timeline
- Buyers must notify us of any claim within 48 hours of receiving the shipment.
- Claims submitted after this period will not be entertained.
- Supporting evidence such as photographs, batch numbers, delivery notes, and inspection reports may be required.
4. Quality & Sample Disclaimer
- Product samples are provided strictly for evaluation and testing purposes and are non-returnable and non-refundable.
- Natural variations in color, aroma, or consistency do not constitute defects.
5. Return Authorization Process
- No products may be returned without prior Return Authorization (RA) issued by Vintera Flavors.
- Unauthorized returns will not be accepted.
- Returned goods must be unused, unopened, and in original packaging unless otherwise approved.
6. Refund Method
- Approved refunds, if any, will be processed via the original payment method or as a credit note, at our discretion.
- Refunds do not include shipping, freight, customs duties, or handling charges.
7. Shipping Costs for Returns
- Return shipping, insurance, and handling costs shall be borne by the buyer unless the return is due to our verified error.
- Risk of loss during return transit remains with the buyer.
8. Limitation of Liability
Our liability is strictly limited to replacement of goods or refund of the invoiced value of the affected products. We shall not be responsible for:
- Production losses
- Reformulation costs
- Loss of business, profits, or market opportunities
9. Regulatory & Compliance Responsibility
Buyers are responsible for ensuring regulatory compliance of products in their respective jurisdictions. Returns will not be accepted due to regulatory non-approval unless expressly agreed in writing.
10. Policy Amendments
We reserve the right to amend or update this Return & Refund Policy at any time without prior notice. Updates will be effective upon publication on our website.
